**Job Summary**

**Job Description**

Attend to the day-today requirements of the department / project; exercise judgment in making department decisions; and plan, direct and control department activities to meet targets effectively.

**Essential Duties and Responsibilities**

1. Maintains workflow by studying methods and developing reporting procedures.

2. Creates and revises systems and procedures by analyzing operating practices, recordkeeping systems, forms control, office layout and implementing changes.

3. Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.

4. Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.

5. Provides information by answering questions and requests

6. Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.

7. Completes operational requirements by scheduling and assigning administrative projects; activities and travels, expediting work results.

8. Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.

9. Contributes to team effort by accomplishing related results as needed.

10. Undertakes and manages allocated word and data processing tasks to agreed deadlines and standards:

+ Word processing correspondence, reports, proposals and support to other staff

+ Update and monitor client database

+ Action managers’ mail

+ Photocopying

+ Communications including phone reception and messaging, fax send/distribute, mail to managers, couriers

+ Financial - invoicing, invoice coding, filing job codes and accounts

1. Provides excellent client service through being responsive, timely and effective.

2. Works on team basis with other secretaries, ensuring work is done to achieve high level of service to all internal clients

3. Manages the department’s information system (filing and directories).

4. Ensure that the flow of documents is in accordance with the requirements of ISO 9000.

5. Coordinates functions, meetings and training

6. Takes minutes for meetings.

7. Maintains and monitor equipment and stationery supplies of the department.

**Minimum Requirements**

+ At least 2 to 3 years of relevant working experience;

+ Knowledge of MS Word, Excel, and PowerPoint.

+ Knowledge of and effective filing and retrieval system.

+ Excellent interpersonal and communication skills

+ Excellent writing skills.

+ Driving skills would be an advantage

+ Ability to communicate effectively, both orally and in writing.

+ Ability to establish and maintain effective working relationships with the general public, co-workers, clients, sub-contractors, suppliers, government officials or representatives, and members of diverse cultural and linguistic backgrounds regardless of race, religion, age, sex, disability, political affiliation or sexual orientation.

**Preferred Qualifications**

+ Graduate of a four year course

+ One (1) to three (3) years related work experience

+ Preference is given to Filipino Locals/Residents in Taguig or Nearby Taguig area
