Office Assistant

This role is temporary with the potential to become regular full-time.

This position will provide administrative and general support to the Mexico City office.  Duties include, but are not limited to:

Receptionist duties

  • Responsible for answering main office line and redirect the calls as required
  • Receive guests at reception and greet clients as appropriate
  • Receive and distribute mail and deliveries
  • Assist with outside deliveries & pick-up as needed

Office Services duties

  • Maintain the aesthetic appearance and cleanliness of the pantry, conference rooms, teaming areas and common areas at all times (client ready)
  • Coordinate all supply ordering (monitor and maintain office and kitchen supplies)
  • Coordinate client lunches and other on-site meetings (lunch & learns)
  • Prepare, order food and set up for meetings: food/beverage setup, pin-up boards/posters, breakdown/cleanup after meetings, clean all conference room table and chairs at end of all meetings when needed
  • Coordinate meeting room reservations to avoid overbookings and/or overlapping meetings
  • Work with the Studio Coordinator on office projects
  • Coordinate errands as needed for the office
  • Other duties and responsibilities as needed

Other Administrative duties

  • Assist Office Director (meetings, agendas, travels, among others)


Skills and Qualifications

  • Bachelor's degree or equivalent work experience required
  • Bilingual – English & Spanish
  • Proficiency in Microsoft Office Suite – Word, Excel, PowerPoint
  • Excellent communication skills, both verbal and written
  • Ability to handle multiple competing priorities; excellent organization skills, attention to detail and flexibility
