Project Accountant

The Project Accountant will be responsible for:

Project Opening and Maintenance:

  • Responsible to active the marketing project after the project get proper approval and make sure the accurate information in Vision in line with the application;

  • Responsible to active the regular project after the project get proper approval and make sure there are sufficient supporting documents;

  • Training and assists PM for project link application and help to submit the project opening application if need;

  • Responsible to update the project status and project notes in Vision.

Works closely with Project Managers to ensure accurate client billing:

  • Drafts invoice review (monthly) before distributing to PM and review with PM and rough draft annotation;

  • Works with PM for monthly billing schedule and helping PM for billing letter;

  • Prepares accurate invoices to clients per contract terms;

  • Helping PM for billing letter;

  • Prepares accurate invoices (include issue VAT invoice) to clients per contract terms.

Assists review of A/R:

  • Reviews Accounts Receivable and assists in collection efforts;

  • Send A/R report to PM to reminder A/R overdue weekly;

  • Helping project manager for related document preparation like AR application letter.

Assists review of marketing costs, held cost and other financial reports:

  • Assist to review and approval of labor and expense transfers;

  • Assist job status update in Vision;

  • Assist held cost report and other financial reports preparation.

Provides training to Project Managers on internal systems and procedures:

  • New project manager training;

  • Regular trainings for PMs for daily operation.

Coordinates consultant invoices and payments:

  • Double check and make sure the payment term and supporting documents (agreement/contract, invoice, supporting details if any) is accurate;

  • Prepare the consultant payment request accordingly;

  • Assist Project Manager for the vendor payment inquires and confirmation.

Responsible for related tax works:

  • Monthly, quarterly, yearly tax clarification;

  • Quarterly stamp duty preparation and application;

  • Tax regulations update.

Other tax related jobs. Responsible for communication with staff, vendors or clients for any financial information requirements:

  • Company business/legal licenses, bank/invoice information and etc.

Other responsibilities:

  • Coordinates other vendor payments and employee payments;

  • Contracts and other financial documents filling;

  • Assist any reports preparation;

  • Any other responsibility as assigned.

The ideal candidate must meet the following qualifications to be considered:

  • Possess an accounting degree with a minimum of 8 years experience as financial analyst, preferably with an architecture or design firm.

  • Strong interpersonal skills with the ability to engage different personality types

  • Work well under pressure with multiple tasks and deadlines

  • Good written and verbal communication skills, fluent in reading and writing English.

  • Proficient in Excel, prior experience with Deltek Vision software preferred

  • Must demonstrate a high level of accuracy and stable work performance

  • Respond in a timely manner to vendors, consultants and staff

  • Highly Organized

  • Must be a self-starter, team player, and detail oriented
