Position Title Executive Assistant

Job Summary

This position will be based at our Century City office but will require the ability to work at Downtown Los Angeles office on a limited as needed basis.

Will serve as the Executive Assistant and coordinate activities and drive efficiencies through:

  • Managing detailed business and personal calendars, meetings and logistics, phones, preparing materials and setting up department activities

  • Ensuring the team is prepared for all meetings to include organizing appropriate staff work such as read-ahead materials and talking points

  • Performing research related to executive briefings and events

  • Managing special projects and events

  • Assisting in managing global department-wide communication and activities

  • Verifying attendance and posting agendas and read-aheads to ensure meetings are efficiently managed

  • Prioritizing requests and ensuring deadlines are met

  • Consolidating organization charts and updating dashboards

  • Responding to inquiries, managing incoming communications and responding as necessary

  • Arranging complex international and domestic travel agendas and preparing travel and expense reports

  • Maintaining accurate databases

  • Working with other executive assistants and colleagues to provide back up and support department and company events

Minimum Requirements

The successful candidate will have a proven track record in:

  • Working in a fast-paced c-suite environment for large global companies

  • Dealing and interacting with senior executives and other key stakeholders

  • Partnering with other executive assistants on company and individual matters

  • Collaboration and rapport with colleagues

  • Working with suppliers and vendors

  • Achieving results by influence and diplomacy across a large matrixed organization

Candidates must be highly skilled in upper-level administrative support with requirements, attributes and experience including:

  • At least five years of experience as an executive assistant to senior leadership in large, global, complex organizations

  • Meticulous skills with a verifiably excellent performance track record

  • Ability to anticipate business needs, handle issues and ask the right questions before problems arise

  • Understanding of business concepts

  • Extremely strong follow-up skills

  • Highly proficient in Microsoft Outlook, Excel, Word and Power Point

  • Adept at working in a highly demanding, dynamic and fast-paced environment

  • Experience working with highly confidential information

  • Ability to think and act independently

  • Highest degree of integrity, professionalism, diplomacy, and discretion

  • Ability to handle multiple tasks efficiently and meet tight deadlines

  • Demonstrated good judgment and decision making

  • Must be a resourceful and independent thinker who is a self-starter with excellent prioritization skills

  • Excellent communication skills

Preferred Qualifications

  • Highly proficient in Microsoft Outlook, Excel, Word and Power Point

  • Knowledge of box.com, SharePoint, Salesforce.com and other desktop tools

  • Degree and/or specialized training
