Project Administrator - Heritage Assets Database

HOK is looking for talented individuals to join the CENTRUS team as we begin work on the historic Centre Block Rehabilitation.


  • Under the direction of the project manager, assist with tracking progress
  • Performs various document production and management tasks including photocopying, photographing and image editing, scanning and organizing documents
  • Communicate with team members and Project Manager when project issues arise related to document production, document management or data entry tasks
  • Manages project filing system and database, both electronic and paper
  • Reviewing and inputting information regarding various objects of historical significance into centralized database
  • Conduct quality assurance of historical data in databases including proofreading and verifying document protocols are being followed
  • Collaborates with various staff and departments in administrating day to day projects and reporting requirements
  • Serves as a contact for transfer of files, documents, drawings with external consultants and clients; manages distribution of these to the team
  • Provides timely reports to public agencies as required. May also need to establish files and procedures for annual audits by the public agency (or agencies) involved.
  • May be primary communication link between project team and consultants
  • May attend client meetings to take meeting minutes and prepare for distribution
  • May perform office manager and/or receptionist duties when project is located at a job site
  • Takes personal responsibility for fostering a green workplace through sustainable work practices.
  • For those who also provide BIM Support:
    • May modify and/or review architectural drawings according to established standards.
    • May prepare drawings for presentation.
    • Fosters a commitment to external and internal client service.
Required Skills
  • Proficiency in MS Office, including Word, Excel and Outlook - ability to learn other systems as required
  • Proficiency in Newforma and Deltek preferred
  • Must be detail-oriented and able to handle confidential information at the highest level
  • Keen interest in Canadian history and/or architecture; archives and research experience an asset
  • Ability to communicate both verbally and in writing; including excellent interpersonal skills
  • Ability to work in team environment
  • Ability to effectively meet deadlines
  • Must have (or be able to obtain) reliability security clearance
  • Experience in applying architectural heritage conservation standards and guidelines in a project setting is an asset
Required Experience
  • Equivalent of a Masters or Bachelors degree in a related field (architecture, history etc) and 3+ years related experience.
  • Prior involvement in organizations that promote heritage conservation is an asset
  • Prior experience working with primary sources and archival documents is an asset
  • Experience in applying architectural heritage conservation standards and guidelines in a project setting is an asset
  • Knowledge of the Standards and Guidelines for the Conservation of Historic Places in Canada would be an asset
  • Knowledge of the principles of general architectural and engineering practices relating to the design and construction of buildings would be an asset
